INDUSTRIAL TRADE ESTIMATING
Industrial Mechanical Estimating Services
Share the equipment list, layouts and mechanical specifications to scope a mechanical estimating proposal. Separate equipment purchase, setting, utility connections and associated works before pricing the package.
For mechanical contractors, plant expansion teams and industrial general contractors.

DEFINE THE BID PACKAGE
What goes into the mechanical & equipment estimate?
A vendor equipment price may cover only the supplied package. Foundations, unloading, setting, alignment, grouting, connections and site support can sit elsewhere in the contract. The estimate needs a responsibility schedule rather than an assumption that all installation work is in the vendor quote.
| Scope | Quantity detail | Unit basis | Review point |
|---|---|---|---|
| Equipment | Listed equipment and installation responsibilities | EA | Show supplied-by and installed-by responsibility. |
| Plant utilities | Agreed compressed air, water, steam or other utility systems | LF / EA | Define limits and link detailed piping to its own package. |
| Ventilation | Specified fans, ductwork and associated components | EA / area / weight | Use project measurement conventions and material requirements. |
| Setting and access | Identified lifting, handling and installation equipment | Hours / days / allowance | State rental duration, mobilization and scope basis. |
| Associated works | Anchors, grout, insulation and defined supporting scope | EA / volume / allowance | Check civil, structural and vendor interfaces. |
Documents to include with your enquiry
Send the latest available revisions and identify any documents still to follow. The proposal can then distinguish fully defined work from items requiring clarification.
- Equipment list and vendor scope sheets
- Mechanical layouts, schedules and specifications
- Utility connections and piping scope information
- Foundation and installation details available for the equipment
- Site access constraints, execution assumptions and bid deadline
Scope boundaries to resolve before pricing
- Equipment delivery versus unloading and setting
- Anchor bolts, templates, grout and foundation interfaces
- Utility drops and final equipment connections
- Insulation or coating assumed to be inside another package
- Vendor attendance, start-up assistance and temporary services
Include the bid instructions and relevant vendor quotations so responsibilities can be reconciled against the drawings. Exclusions should be explicit and consistent across the takeoff, cost sheets and proposal.
Build the estimate around equipment tags
Use equipment identifiers to connect vendor quotes, installation work and utility interfaces. This makes it easier to check whether a machine has a foundation, setting allowance and required connections, and to revise a package when equipment selections change.
Keep utility and installation scope separate
Mechanical scope can overlap with process piping, electrical, steel and civil packages. Define the boundaries in the proposal and use cross-references between the schedules. Separate measured work from items awaiting vendor information.
Price the execution assumptions
Handling constraints, installation sequence, access and work inside an operating facility can affect labor and equipment duration. Record the assumptions and the information still required. A complete estimate should make these dependencies visible to the bid team.
An installed equipment package has several boundaries
Break an equipment item into supply, delivery, unloading, setting, alignment, foundation/grout and utility-connection responsibilities. A purchase quotation may address only some of these activities. Connect each responsibility to an equipment tag and a drawing or vendor reference so associated work can be checked across the civil, structural, piping and electrical packages.
Quantify plant utilities by system
Keep compressed air, process water, steam, cooling and other specified utility systems separate. Define whether the bid stops at the header, branch, valve station or final equipment connection. Utility sizes, materials and connection types follow the project documents; a generic utility allowance should not silently replace available measured detail.
Treat access and installation equipment as a stated basis
An equipment weight alone does not define a crane rental estimate. Identify the available handling information, equipment duration assumptions, mobilization and installation sequence. Specialist lift planning remains the responsibility of the appointed professionals; the estimating package can price the agreed execution assumptions and identify missing information.
Reconcile vendor attendance and completion
Confirm whether start-up assistance, specialist attendance, temporary services, testing and documentation are quoted by a vendor or remain a contractor allowance. State the duration or basis where available. Keeping these items visible helps avoid a purchase quote being mistaken for a fully commissioned installed package.
Cost and effort drivers to define
- Equipment count and vendor scope completeness
- Utility boundaries and connection detail
- Handling and access constraints
- Specialist attendance and installation sequence
Specify your output package
- Tagged equipment installation breakdown
- Utility quantities organized by system
- Associated-work responsibility schedule
- Documented installation and completion allowances
Agree the deliverables before work starts
Specify a quantity-only takeoff or a priced estimate, the required grouping and file format, and whether a drawing register, marked plans and a written basis of estimate are included. Revisions and additions should have a defined scope so both teams understand what changes are covered.
Questions about mechanical & equipment estimating
Does a mechanical estimate include equipment procurement?
Only if procurement pricing is included in the agreed scope. Equipment can be owner-furnished, vendor-quoted or carried as a documented allowance. Installation responsibilities still need to be identified.
Can mechanical and piping packages be quoted separately?
Yes. Define the limits of each package, including utility headers, drops, equipment connections and vendor internals, to avoid omissions and duplicate quantities.
Are engineering and commissioning included?
They are not automatically part of a construction takeoff. Any engineering, specialist attendance, start-up or commissioning allowance must be specifically defined.
